The Opportunity
Get ready to dive into a role where technology, systems, and people come together! As our Talent Acquisition Admin Assistant, you’ll be at the heart of recruitment operations, managing systems, reporting, and candidate communications to ensure every recruitment experience runs smoothly. You’ll be the first point of contact for internal and external recruitment enquiries and a collaborator in delivering efficient, accurate, and innovative recruitment processes across VRTP. You’ll also get the chance to bring creativity and tech-savviness to projects that enhance our recruitment systems, processes, and employer branding.
Key Responsibilities
• Maintaining and optimizing recruitment systems, ensuring data accuracy and efficient workflows
• Preparing and distributing weekly and monthly Talent Acquisition reports, dashboards, and analytics
• Managing the Police Check Pending Report and Qualifications Pending Spreadsheet, ensuring timely follow-up and compliance
• Supporting system enhancements, AI initiatives, and process automation projects
• Managing the shared recruitment inbox and providing timely, professional responses to enquiries
• Assisting with interview scheduling, recruitment events, and onboarding documentation
• Supporting the People & Talent Manager with administrative tasks, reporting and projects
• Contributing to employer branding initiatives and recruitment marketing projects
• Maintaining secure, organized digital filing systems for all recruitment documentation
What We’re Looking For
• Demonstrated experience juggling competing priorities and meeting deadlines
• Excellent communication skills (written and verbal) with attention to detail
• Professional, friendly, and highly organized approach with strong problem-solving skills
• Discretion and the ability to maintain confidentiality while working with multiple stakeholders
• High proficiency in Microsoft Office Suite and comfort using AI tools to enhance productivity
• Previous experience in recruitment, HR, or related fields (including internships) is highly desirable
• Knowledge of HRIS systems such as PageUp or SAP is a bonus
• Bachelor’s degree in HR or related field is beneficial
• Creativity and a passion for technology, with the confidence to contribute ideas and assist on projects that improve recruitment processes and candidate experiences
